We've moved weddings and events at Boschendal, Cavalli, La Paris, Molenvliet, Webersburg and most major venues across the Cape Winelands and Atlantic Seaboard. One coordinator runs the whole transport schedule on the day, so neither you nor your planner has to chase drivers. From a single bridal car to a fleet of guest shuttles — or a 300-delegate conference wave — everything is quoted as one fixed price that includes vehicles, drivers, fuel and waiting time.

How a wedding shuttle day works

Two clear phases. In the afternoon we collect guests from their accommodation and run them to the venue in timed batches, arriving comfortably before the ceremony. Then in the evening we switch to a rotational shuttle: the vehicle loops continuously between the venue and the guest houses — typically every half hour from 22:00 through to 01:00, or whatever time your venue closes. Guests simply walk out when they're ready and the next shuttle is never more than 30 minutes away.

The evening rotation, in practice

A rotation is quoted as a block of hours rather than per trip. If the venue closes at 00:00 we usually run 22:00, 22:30, 23:00, 23:30 and a final sweep at closing; if it closes at 02:00 the loop simply extends. Where guests are spread across several guest houses, we group drop-offs by suburb so each run stays short and the vehicle is back at the venue on schedule. Larger weddings get a second vehicle on the same rotation so the interval halves.

Guest shuttle loops

Continuous shuttles between the guest hotel and your venue, timed around the ceremony and reception. We build the loop timings around your run sheet, not a generic template, and share a printed schedule with your planner and MC the week before so the MC can announce shuttle times from the mic.

The bridal arrival

A luxury sedan or Mercedes-Benz Vito for the bride, bridesmaids and immediate family — cleaned, ribboned and on-site a full hour before the ceremony. Drivers wear formal dress, carry an umbrella and a spare bottle of water, and know to stay out of the photographer's frame. A second vehicle can shuttle the groom's party from a separate address on the same booking.

Late-night returns

Drivers stay on-site until the last guest is collected, typically by 02:00. There are no surge fees, no after-midnight surcharges and no per-trip extras — the whole evening is quoted upfront in your written confirmation. If the party runs long, we extend at the same hourly rate rather than re-quoting on the night.

Winelands venues we know

Boschendal, Cavalli, La Paris, Molenvliet, Webersburg, Vrede en Lust, Lanzerac, Rickety Bridge and Nooitgedacht are all on our regular run sheet. Knowing the gate access, parking bays, turning circles and the guard-house protocol at each estate is the difference between guests arriving relaxed and a convoy stuck at a boom at 16:45.

Out-of-town weddings

Hermanus, Paternoster, Robertson, Greyton and the Garden Route. Multi-day rates include driver accommodation and standby time, so a Friday welcome dinner, a Saturday ceremony and a Sunday farewell brunch all sit on one quote instead of three separate bookings.

Corporate & private events

Beyond weddings we handle year-end functions, product launches, matric dances, conferences, gala dinners, festivals and milestone birthdays. The model is the same: staggered arrivals, a named coordinator, vehicles held on-site and a single invoice afterwards — with 30-day terms available on corporate accounts.

Matric dances & school events

Arrival vehicles for matric dances, with parent-approved drivers, no-alcohol policy in the vehicle and a confirmed drop-off contact for every learner. Group bookings for a whole friend group cost a fraction of individual hires and remove the drink-driving risk entirely.

How planning works

Send us your venue, guest count, accommodation addresses and rough timings. We come back with a written vehicle plan and a fixed price — usually within a few hours. Two weeks out we lock the run sheet with your planner, and on the day your coordinator is reachable by phone and WhatsApp from first pickup to final drop.

Common questions

How does the evening shuttle actually run?

On a rotation. Rather than one big departure, the vehicle loops between the venue and guest accommodation roughly every half hour — commonly from 22:00 until 01:00, adjusted to your venue's closing time. Guests leave whenever they like and the next run is close behind, with a final sweep once the last guests are ready.

What time do guests get collected for the ceremony?

Usually in the afternoon, in one or two batches from their accommodation, timed to have everyone at the venue 30 to 45 minutes before the ceremony starts. If guests are staying at more than one address we sequence the pickups so nobody waits around at the venue.

How far in advance should we book?

Peak wedding season (October to April) books out six to nine months ahead, and Saturdays in February and March go first. We hold a date with a 25% deposit; the balance is due two weeks before the day.

Can we view the vehicles first?

Yes. We hold viewings at our depot by appointment, or we'll bring the vehicle to your venue site visit so you can check it against your colour scheme and photograph the arrival angle.

How many guests fit per vehicle?

A sedan seats three passengers, a Vito seats seven, a Quantum thirteen, a Sprinter twenty-two and our coaches carry up to fifty. Most Winelands weddings of 100–140 guests run comfortably on two Sprinters plus a bridal sedan.

Do you decorate the bridal car?

Ribbon and a simple bow are included at no charge. Florals, signage or a custom colour treatment are welcome too — your florist can dress the vehicle on-site, and we'll arrive early to allow time for it.

What happens if the reception runs later than planned?

We extend at the standard hourly rate with no penalty. Just tell your driver or coordinator on the night; nothing needs to be re-booked or re-quoted.

Can guests be collected from several different hotels?

Yes. Multi-pickup loops across Stellenbosch, Franschhoek, Somerset West and Cape Town are routine. We sequence the addresses to keep total travel time down and share the pickup times with your guests directly if you prefer.

Are your drivers licensed for passenger transport?

Every driver holds a valid PrDP, and every vehicle carries operating licences and full passenger liability insurance. Certificates are available on request for venues that require them.

Do you handle events other than weddings?

Regularly. Corporate functions, conferences, gala dinners, matric dances, festivals and private parties all use the same coordinated shuttle model.
